Following is logistical information to start your planning for the OCB Workshop here in Woods Hole June 20-23, 2022. This year, the plenary sessions will take place in Redfield Auditorium (Water Street, Village campus) and poster sessions and smaller group activities will take place in Clark 5 (Woods Hole Road, Quissett Campus). There will be a bus to transport participants between the Village and Quissett Campuses. We will be paying for your lodging (we pay these costs directly to the hotels). We will also be covering your meals served at the meeting, which includes 4 breakfasts, 4 lunches, one evening reception with hors d’oeuvres, and the workshop dinner.
Air Travel
Invited speakers and SSC members - you should have received detailed instructions for making travel arrangements by now. If you have not, please check spam folders and reach out to the OCB Project Office for guidance. Please do not make air travel reservations before checking the bus schedule as we don't want you stranded in Boston! The two airports nearest to Woods Hole are Boston Logan Airport (BOS) and Providence T.F. Green Airport (PVD). Both airports are just under 80 miles from Woods Hole and offer bus service to Woods Hole.
Hotel Information
FAQ: You do not need parking permits for your hotel. Parking permits are only needed if you are bringing a personal car to the WHOI campus.
Mary Zawoysky will make your hotel reservation based on your registration and she will also keep the lodging lists for the hotels, so you should not call the hotels to make a reservation. However, if you need to cancel at the last minute (the weekend prior to the start of the meeting), it is also your responsibility to contact the hotel to let them know. Please call Mary at 508-289-2310 or e-mail her if you have any questions. We will have a shuttle bus circulating around the hotels to transport you to/from the meeting.

A WHOI shuttle also regularly circulates around the WHOI buildings with a stop at Coffee Obsession in Woods Hole (within a short walk from the Sands of Time Motor Inn).

If OCB is covering your travel costs (invited speakers, SSC members, early career travel stipend recipients), please note that OCB will not reimburse rental car expenses for this workshop, given that there are mass transit options to/from both airports (as outlined below), and we are paying for a shuttle to transport participants between hotels and campus to reduce congestion in campus parking lots. The buses to/from the Boston Logan and TF Green (Providence, RI) airport run regularly. There are currently two bus companies: 1) Plymouth & Brockton (Logan schedules to/from Falmouth/Woods Hole, TF Green schedules to/from Falmouth/Woods Hole) and 2) Peter Pan Bus (http://peterpanbus.com). Both companies stop at Falmouth Station (short walk to Inn on the Square) and Woods Hole Terminal (short walk to Sands of Time). The bus stop for “scheduled buses” can be found right outside each terminal at both airports. If you are staying at the Holiday Inn, you should take the bus to Falmouth Station and call a taxi/Uber/Lyft to get to the hotel (phone numbers below - these come in handy if you miss the shuttle to the meeting one morning too). If you plan to take the bus, be sure to check the bus schedules before booking flights and plan accordingly. There are other methods to travel the ~90-minute trip from the airports to Woods Hole such as the Go Green Shuttle and White Tie Limousine, but it is best to contact Mary Zawoysky (mzawoysky@whoi.edu) IN ADVANCE to make those arrangements so she can get you our discount.

Domestic Per Diem Rates: Breakfast – $10, Lunch – $17, Dinner – $30; no receipts are needed for meals. For foreign per diem rates, please check with our office or visit State Department website.
If you will be driving to an OCB-sponsored meeting, any trip over 250 miles one way is covered at a maximum level of the least expensive economy airfare. If driving, we recommend that you check with us prior to the meeting to get an estimate of reimbursable mileage. Once again, we will NOT reimburse rental cars.
Please attach all original receipts of $75 and over for any other expenses such as car rental, taxi fare, etc. We don’t require receipts for items under $75 such as tips for hotel cleaning staff, skycaps, etc. The air passenger receipt is very important along with baggage receipts, even if less than $75 (the one exception to the previous rule), or anything related to airfare. Without the air passenger receipt, our travel reimbursement dept. will not pay for anything on the expense voucher. If you have an electronic ticket, we still need an air passenger receipt from travel agency or a receipt from the airline that shows how you paid for the ticket. We do not need boarding passes. About the Meeting Site
Woods Hole Oceanographic Institution (WHOI) is located in Woods Hole, MA. Woods Hole is approximately 75 miles south of Boston on Cape Cod. It is surrounded by the waters of Martha’s Vineyard Sound and Buzzards Bay and just a few miles south of Falmouth, which is typically New England (village green, Main Street and a Congregational Church with a bell cast by Paul Revere).
Restaurants
For meals on your own, there are 6 restaurants right in Woods Hole outside of the continental breakfasts, lunches, one reception and one supper we will provide at the meeting. The Inn on the Square and Holiday Inn also have their own restaurants, and downtown Falmouth has many restaurants as well.
